Family Resource Advisor

Supervisory Responsibilities: none Position Status: Full-time

Job Summary: The primary responsibility of this position is to determine eligibility for the School Readiness (SR) and Voluntary Pre-Kindergarten (VPK) programs, manage program participation and provide early learning information, referrals, and community resources to families.

Essential Duties and Responsibilities: (This description reflects the major duties and responsibility of the job. Primary Responsibilities:

  • Performs client intake for child care services of SR and VPK Programs, including, but not limited to:
    • Reviews required program documents to determine program eligibility
    • Communicates with clients to assure program compliance
    • Manages waitlist
    • Provides information about child care and other community resources
  • Reviews application completion and enters data including history notes related to eligibility
  • Schedules appointments for eligibility determinations and redeterminations
  • Accesses, understands, and utilizes the statewide SR wait list system
  • Provides child care referrals to help all families identify quality early learning programs (CCR&R)

Other Responsibilities:

  • Responds to incoming calls
  • Provides information to the public
  • Prepares and enters data into statewide and local data bases
  • Organizes files, records, correspondence, and other required documents
  • Communicates with clients and outside agencies, as needed
  • Processes timely reporting of program complaints
  • Provides excellent internal and external customer service
  • Performs other duties or responsibilities to support the mission of the Coalition as assigned by management


  • Graduation from an accredited high school or possession of an acceptable equivalency diploma
  • Two (2) years of experience performing clerical duties
  • Additional job-related training or education, preferred
  • Must possess valid Florida Driver’s License with no record of criminal driving offense or license suspension
  • Must possess proof of required auto insurance
  • Must be able to work flexible hours including some evenings and weekends
  • Must successfully complete background-screening requirements

Experience, Knowledge, Skills and Abilities:

  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
  • Knowledge of the principles and processes for providing customer services; knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures
  • Knowledge of counseling/interviewing techniques
  • Ability to gain knowledge of eligibility data for applicants
  • Ability to evaluate relevant information and use individual judgment to determine compliance with laws, regulations, or standards
  • Knowledge of office practices and procedures
  • Knowledge of common office business machines
  • Knowledge of basic arithmetic
  • Ability to demonstrate active listening, time management, and organizational skills
  • Ability to demonstrate problem solving and critical thinking skills
  • Ability to multi-task
  • Ability to talk to others to convey information effectively
  • Ability to communicate effectively in writing as appropriate for the needs of the audience, including writing clear and concise case notes
  • Ability to deal with difficult or angry people effectively while maintaining professional composure
  • Ability to work in a fast-paced, high-stress environment
  • Ability to develop constructive and cooperative working relationships with others
  • Ability to operate a personal computer
  • Knowledge of a variety of computer software applications in word processing, spreadsheet, and database software (including MS Word, Excel)
  • Ability to learn custom database software for performing essential functions of position
  • Ability to navigate the Internet
  • Ability to meet deadlines
  • Ability to work and communicate using speaking, hearing and vision skills with people from various multi-cultural backgrounds and socio-economic levels
  • Sensitivity to the needs, abilities, beliefs, and attitudes of individuals within and outside the Coalition, including but not limited to clients and co-workers

Software/Equipment Profile:

  • Commonly used applications include: Knowledge of Microsoft Word, Excel, PowerPoint Presentations, E-mail, Internet and SharePoint
  • Commonly used equipment includes: Computer, Copier, Fax Machine, Multi-Line Telephone, Postage Meter, Presentation Hardware

Working Conditions and Physical/Mental Requirement:

  • Duties are primarily performed in general office environment; some travel to off-site locations is required
  • Ability to be present at work on a consistent basis
  • Frequently sit, stand, walk, twist at the waist and routinely operate a computer keyboard, telephone and copier
  • Light (less than 50 pounds) lifting is occasionally required
  • Ability to operate a vehicle occasionally for lengthy periods
  • May work nights, weekends, and holidays
